“It’s a course that has something for every golfer, and that is part of the appeal,” says Jenni Tyler, Event Sales Director at Bear’s Best Atlanta. Recent renovations of the pro shop, clubhouse, and course bunkers give the high-end club even more appeal to members and other golfers in the Atlanta metro area.

 

The Challenge

Bear’s Best regularly hosts charity golf tournaments at its facility. Its unique course offering, attentive staff, and top-notch event experience make it a great choice for local organizations holding golf events. “At Bear’s Best, we’re all about enriching lives and building relationships, and charity tournaments are a big part of that,” Jenni says.

With so many onsite events to manage and execute, Jenni’s sales team and the golf staff needed a tool to streamline outside outings to maximize efficiency but still provide top-notch support for event organizers.

 

The Solution

Instead of spending hours tracking down and inputting golfer names, assigning holes, designing cart signs, and creating reports, “we just log in and are ready to go in about 20 minutes since everything is in one spot.” The platform auto-generates alpha lists, cart signs, and reports, so all golf staff have to do is hit “print” when they’re making their final preparations.

Live-scoring is another piece of the puzzle for golf tournaments at Bear’s Best. Golfers submit their scores in the free GolfStatus mobile app, which syncs to live leaderboards. Golfers can see current standings, use the app’s free hole-by-hole GPS to get accurate yardage to the pin, and even engage with the tournament’s host organization by making a donation to their cause. On the golf facility side, live-scoring helps staff track the round’s progress so they can be prepared for awards, a banquet, or other activity, and makes finalizing the tournament’s results a breeze. “Live-scoring is so much more efficient in finalizing scoring and getting things ready for awards,” Jenni says.

The annual North Gwinnett Baseball Golf Tournament has been held at Bear’s Best for years. Organizers signed on with GolfStatus for the 2023 event, and Jenni says they had tremendous success. The previous year, prior to using GolfStatus, only about five teams prepaid when registering for the tournament, which left organizers hunting down teams for payment the day of the event and dealing with no-shows. Bear’s Best Charity Classic benefits the ECF and First Tee of Metro Atlanta. “We get really excited about the Charity Classic event,” says Jenni. She has personally benefited from the ECF, which supports Invited Clubs’ employees in the midst of crisis such as home loss, death, illness, or domestic situations, so the cause hits home for her. “It’s an amazing resource for employees, but we also want to help youth through First Tee as they’re going through life and learning about golf,” Jenni says.

But how will these work for your golf fundraiser? Can they handle the specific nuances of a golf tournament? Will they make your life easier or require workarounds and adaptations to make it function the way you need it to?

The last thing you need is costly, complicated software that drains your time and resources instead of driving fundraising. As you evaluate software options for your golf event, here are some crucial questions to ask:

Golf Tournament Honors Infant Daughter & Raises $100,000 for Congenital Heart Conditions
 

Sam and Melissa Steinberg’s journey from expectant parents to ICU veterans to creating a foundation to honor their daughter started at a routine ultrasound when Melissa was 20 weeks pregnant. They received a devastating diagnosis—Cameron had hypoplastic left heart syndrome, a congenital heart defect in which the left side of the heart does not develop properly and cannot pump enough blood to meet the body’s needs.

Not only did they have to cope with this unexpected diagnosis, but try to understand the complexities, treatment options, and prognosis of the condition at the same time. “You have this bomb dropped on you and then have to try to make sense of what’s happening,” Sam says. He explains that a heart doctor brought out a piece of paper with a diagram to explain how Cameron’s heart worked, but with all the emotions of the moment, “It didn’t make sense or help us understand.”

Cameron was diagnosed at Nationwide Children’s Hospital in Columbus, Ohio, near where the Steinbergs lived, but she was transferred to C.S. Mott Children’s Hospital at the University of Michigan in Ann Arbor after she was born, where a plan was in place to treat and correct the defect. But in addition to her heart issues, Cameron also battled a lung disease that ultimately claimed her life at just nine weeks old.

Sharing Their Experience

It was during the weeks the family spent at Mott that the Steinbergs learned about the relative lack of funding devoted to research into congenital heart defects. And it was then that the family decided to do something to help other families affected by these heart conditions.

Sam and Melissa received a care package from a family that had spent time in the cardiac ICU. “It was filled with simple things—a soft blanket, water bottles, gum, puzzles,” Sam says. “But it came from someone else who had lived in the ICU and knew what would be helpful.” That inspired them to think about how they could use their experience to help families going through the same ordeal.

They started small. While Cameron was still in the hospital, they had t-shirts made with the #CamiStrong logo to raise money that bought books and stuffed animals for kids undergoing open heart surgery. After Cami’s death, they wanted to do even more, and settled on a golf tournament as a way to bring people together in her memory and raise a significant amount of money for the newly established Cameron Steinberg Foundation.

“Our mission doesn’t stop even without her,” Sam says. “We will carry on her legacy to help other heart patients and families.”

Play It Forward & The Cameron Steinberg Foundation Golf Classic

Dr. Michael Gaies was one of Cameron’s cardiologists when she was in the cardiac ICU at Mott Children’s Hospital. The family formed a strong bond with Dr. Gaies, who, as Sam says, really took them under his wing and made them feel like they were part of his family. “He had to deliver some really tough news to us but never left a stone unturned and went out of his way to get additional opinions about her treatment,” Sam says.

Sam and Melissa had many conversations with Dr. Gaies about the lack of funding for congenital heart defects in children and resources for families while at Mott, and he was a staunch advocate for the creation of the Cameron Steinberg Foundation and believer in its mission. They also talked a great deal about their love of golf and the sport’s capacity to rally support and raise money for a cause. Sam’s dad’s experience running a series of golf tournaments made it a natural choice for a fundraiser. “People tend to be willing to open up their wallets and donate at a golf tournament,” Sam says.

The inaugural Cameron Steinberg Foundation Golf Classic was held in May of 2021 and raised about $30,000 for a research fund in Cameron’s name at Mott Children’s Hospital. 

A few months after the golf tournament, Dr. Gaies came across an Instagram post for Play It Forward, a joint campaign of GolfStatus and Dormie Network, which asked people to nominate a golf fundraiser to receive a $10,000 donation. Dr. Gaies believed so strongly in the Steinberg’s work through the Foundation that he submitted a nomination to Play It Forward: “This donation could really elevate the possibilities for next year’s tournament and I have no doubt that the Steinberg family could give a huge return in that investment. They are special people and so passionate about making Cameron’s life meaningful and everlasting.”

 

Proceeds from the 2022 fundraiser were split between C.S. Mott Children’s Hospital in Ann Arbor, Michigan and Nationwide Children’s Hospital in Columbus, Ohio.

 

Year Two: Half the Administrative Work & Double the Proceeds

In the tournament’s first year, Sam relied on Venmo to collect credit card payments, processed cash and checks, then had to reconcile all payments on multiple spreadsheets, send receipts, and manually make pairings and hole assignments. “It was truly a headache,” Sam says.

After the tournament was nominated for Play It Forward following the 2021 event, Sam decided to come online with GolfStatus for the 2022 fundraiser to help reduce the administrative load. As a nonprofit, the Foundation qualified for the Golf for Good program, which provided access to GolfStatus’s entire golf event management tech at no cost. “Obviously, our goal is to raise as much money as possible, so hearing that we get all the benefits of using GolfStatus without losing a chunk of our proceeds was huge,” Sam says.

Working closely with Sam, the GolfStatus team built an event website for the golf tournament, along with custom registration packages. Golfers and sponsors could view and purchase available packages on the site, submit payment, and even make a direct donation to the Foundation. “The website was great—I didn’t have to create a site from scratch and it was a one-stop shop for people to register, become a sponsor, or make a donation,” Sam says. What’s more, sponsors could upload their logos to instantly appear on the sponsor page of the website, not only saving Sam time in collecting and posting those assets, but providing the sponsor more exposure and more return on their investment.

Thanks to Dr. Gaies’s nomination, the Cameron Steinberg Foundation Golf Classic was chosen as the winner of Play It Forward. The $10,000 donation gave them a headstart in their fundraising efforts, helping crush the tournament’s 2022 goal of $50,000 and raising more than $64,000.

Proceeds from the tournament will help fund a hypoplastic left heart syndrome 3D model that uses virtual reality to help doctors, patients, and families better visualize, understand, and treat these heart conditions. “When Cameron was diagnosed, a tool like this would have been important in helping us understand the condition,” Sam says. “We’re super excited about this!”

Therapeutic Riding Program Builds On Its Golf Fundraiser’s Success

Sarah Valentine’s vision for Riverside Ranch was simple—combine her love of horses with her innate desire to help people with special needs. She grew up riding horses, but after her grandfather passed away, she discovered therapeutic riding and felt called to create a nonprofit dedicated to using this medium to help people coping with challenging circumstances in their lives.

After intensely fundraising for over a year and a half, and a postponement due to COVID-19, Sarah opened the Ranch’s doors in July 2020. “We literally built this from the ground up, with dirt and a dream!” Sarah says. She’s grateful for the strong community support and dedicated volunteers who help empower clients dealing with autism, Down syndrome, vision impairment, cancer treatment, grief, and other conditions through therapeutic riding. Most of their riders aren’t able to participate in traditional recreational activities, so therapeutic riding not only lets them have fun, but helps with muscle strength, cognitive skills, and confidence. “At Riverside Ranch we empower different abilities and give them an opportunity to shine,” Sarah says. “When they ride, they build strength and belief in themselves and walk away feeling celebrated.”

The Challenge

Because Riverside Ranch opened during the early stages of the COVID-19 pandemic, Sarah knew her options for traditional fundraising events would be limited. The idea for a golf fundraiser came simply from observing the golfers that flocked to the golf course near where Sarah lives. “The golf course never closed,” she says, leading her to team up with the organization’s board president to explore launching a new charity golf tournament. Beyond raising mission-critical funds, Sarah says the idea for a golf tournament meant they could spread the word about what the Ranch does and who it serves.

Neither had planned a golf fundraiser before, and though both were concerned about COVID-related restrictions, they felt confident moving forward with a golf event. Unsure of where to start or how to make the process less cumbersome, they initially tried setting up registration through Riverside Ranch’s website. “That ended up making things way too complicated and not at all user-friendly,” Sarah says. They decided to seek out simpler, more efficient options.

 

The Solution

Managing Registrations & Sponsorships

The event website was the home base for the golf fundraiser, and where all promotional materials sent golfers and sponsors. With just a few clicks, folks could purchase teams and sponsorship packages right on the spot. Sarah says creating custom sponsorship packages and being able to carry those over from year to year was super helpful, and the software made it easy to manage sponsor logos and assets. Sarah approached local businesses and contacts from families and friends as sponsors and sent them directly to the event website. “When people hear about our mission and what we’re doing at the Ranch, they want to be a part of it!” she says. The tournament involved 40 sponsors over two years

An Easier Year Two

The first year of the golf tournament came with building the event’s infrastructure, including processes, sponsorship and team packages, pricing, designs, and promotional materials. We want to share that excitement with our supporters,” Sarah says. 

To help make this connection, a father of one of the riders, Addy, spoke at the tournament’s luncheon and shared what the Ranch meant to his family. He described how riding has helped Addy gain confidence and the joy she experiences while on her favorite horse, JaRule.

In his first six weeks on the job as Director of Development at Brazos Christian School (BCS) in Bryan, Texas, Clay Jackson settled into a new job, battled COVID-19, was appointed varsity golf coach, and even welcomed a new baby to his family. He also planned and executed a lucrative golf fundraiser from start to finish—for the first time.

Organization Snapshot

BCS is a non-denominational school that serves roughly 450 students in preschool through 12th grade. Since 1981, BCS has provided families with the same academics, activities, and opportunities as public school, but with a Christian focus. 

The longstanding annual golf tournament had traditionally been held in the fall over its 17 year tenure, but after a two-year hiatus due to COVID-19, it was moved to February. The event raises money specifically for the Thomas Scott Moore Memorial Scholarship Fund, which honors a 4th grade student who tragically passed away in 2010 and provides financial assistance to families to attend BCS. The fund has grown from $50,000 to an endowment of $1.2 million, thanks to the proceeds of the golf tournament. “We really want folks to understand that the tournament is raising money for a great cause,” says Clay.

 
 

The Challenge

When Clay started on at BCS in January, he found a long list of things undone for the golf fundraiser. First and foremost, he locked in the date with the Traditions Club at Texas A&M. Once the date was finalized, Clay turned his attention to promoting the tournament. He knew he needed a place to send folks to register and pay online. “Our school didn’t have any means of online payment processing,” Clay says. The tournament had previously relied on paper mailers and registration forms, but with the tournament just weeks away, there simply wouldn’t be enough time to go this route.

 

The Solution

Clay first started exploring generic event management platforms, not thinking that a solution existed specifically for golf tournaments. The Results

The online platform saved time and money almost immediately. Historically, the school spent around $1000 to print and mail flyers and registration forms (and as a result, was forced to track down payments and send receipts weeks or even months after the tournament). Clay simply included a QR code with a link to the event website on flyers that were sent home in students’ backpacks and a direct link in emails, social media, and on the school’s website where people could purchase team and sponsorship packages instantly. “It’s so much easier to send folks to a website!” Clay says. 

When golfers and sponsors registered through the website, their information automatically populated the software’s back end, where Clay could see who had registered, which sponsorships had been sold, and the sponsor logos uploaded. “Online registration was awesome—it was exactly what I was looking for and more,” Clay says.

 
 

Sponsorship Success

The additional digital exposure provided through the GolfStatus platform—on the event website and the mobile app—allowed Clay to raise the price of hole sponsorships from $200 to $400. Hole sponsorships sold out, leading to an extra $3,600 raised without any additional costs to the school. Clay and his wife welcomed a new baby the day before the golf tournament. Chris Johnson, a Real Estate Broker with Berkshire Hathaway HomeServices Chicago, serves as the President of the chapter’s Associate Board, whose charge is to raise funds for the organization’s work. He’s worked in Chicago’s real estate market for nine years and is intimately familiar with the city’s need for denser, more affordable housing options. Chris says Habitat is helping address these issues, not only through physically building homes and neighborhoods, but by educating people and helping them navigate what can be an overwhelming and complicated process. “It’s not about giving away homes, it’s about creating generational change, a steady and safe environment for families, and building wealth in their home,” Chris says. “There’s only so many homes that can be built, but when we’re able to help prepare people for homeownership through education, financial literacy, and sound advice, we can help even more.”

The Challenge

One of Habitat for Humanity of Chicago’s flagship programs is HomeBuyer University, a pilot effort that began in 2019 to break down barriers to becoming a homeowner by helping prospective homeowners understand the process and how to prepare for applying for a mortgage. Funds raised by the Associate Board help underwrite the costs of this program, which is a key part of fulfilling the local chapter’s mission.

After COVID-19 forced the cancellation of an annual yacht party fundraiser, Chris wanted to shift gears and establish a golf event as the board’s main fundraiser. “Folks were exhausted with virtual events and wanted a way to gather safely, and I’ve loved golf since I was a kid,” Chris says, so he dove headfirst into planning a golf event. He knew launching a brand new tournament was going to be challenging, but also knew that they needed to move forward. “I presented a golf tournament to the rest of the board as a feasible way to get a fundraising event done and established.”

Chris, with the help of Associate Board member Brian Doyle of BMO Harris in Chicago and the rest of the planning team, set a conservative goal to raise about $8,000 for the tournament’s first year. Several board members had played in charity tournaments in the past, but no one had experience planning an event.

The Solution

In fact, families that are selected for a Habitat home are part of the building process and pay a 0% mortgage. “People think it’s a lottery, but it’s a long-term commitment to the neighborhood and community,” Chris says. At the start of the tournament, Chris made a point to speak about what Habitat for Humanity Chicago does and passed out educational materials as folks checked in for the tournament so they had a better understanding of what they were supporting.

They also plan to rethink the day of the week of the tournament, which was held on a Saturday in its inaugural year. “Saturday is a great day to play golf, but it was harder to get sponsors to commit to sending a team on a weekend or consider entertaining clients on a weekend,” Chris points out.

He hopes the annual golf tournament will become the board’s marquee fundraising event for Habitat for Humanity Chicago. “I love Habitat. I love being on a job site and watching homes come together,” Chris says. “It’s a lot like what they say about golf—a bad day golfing is better than a good day doing something else. Well, volunteering for Habitat is the same. You’ll work hard but the impact is worth it.”

Let’s be honest—golf fundraisers are a lot of work. There are lots of balls in the air starting months ahead of time, plus committees, volunteers, and sponsors to manage. Maybe you’re tracking everything by hand, working across multiple spreadsheets, or even trying to make a standard event management platform work for your golf event (when it’s designed for a gala or auction). Whatever the case may be, now is a great time to re-evaluate the systems and processes behind your golf tournament. Marriott Hotels Unite Through Golf to Raise Money for Children’s Hospital

Marriott Business Councils bring together hotel management and employees from across a region to network and work together to give back to the larger community. The Colorado Marriott Business Council has been active for over two decades, with a strong presence in the Denver area and beyond that engages Marriott hotel brands, its employees, and the community at-large. It formed a millennial/next generation committee to involve future leaders and provide direction to the Council at large as well as an active committee focusing on LGBTQ issues. 

Chad Conrad is currently the chair of the Colorado Council and has been involved in its work for over 23 years. “Marriott believes in taking care of its employees while also taking care of its community,” Chad says. “The goal is to make people feel like you’re at home when you’re not at home. Employees are just the ambassadors of that idea, taking care of each other and expanding it into the communities where we operate,” he explains.

At the national level, Marriott has been a banner sponsor of Children’s Miracle Network (CMN) Hospitals for over 30 years. This support has trickled down to local and regional Marriott groups, including business councils. Across its 675,000 associates in the U.S., there’s strong buy-in to the commitment to CMN Hospitals across the country. “Associates’ kids benefit from these top-notch facilities,” says Chad. The tie to CMN Hospitals is important to him personally, as both his daughters have been in children’s hospitals at one time or another. 

For over 20 years, the Council has hosted an annual golf tournament to raise money for Children’s Hospital Colorado, the local CMN hospital. He and the planning team have made a concerted effort to set their event apart from other fundraisers and offer a different experience each year, working closely with vendors and other partners. One of its hallmarks has been featuring executive chefs from various Marriott hotels cooking a signature dish on each hole. 

Unfortunately, COVID-19’s profound impact on the tourism industry—layoffs, reduced hotel occupancy, and labor shortages—have impacted the Council’s work and people power. “A lot of our committees fell apart as we lost staff,” Chad explains, but notes that as the workforce rebounds these groups can be rebuilt and re-engaged.

The Challenge

For Chad and Marriott employees from across the state, the annual golf fundraiser’s support of Children’s Hospital Colorado resulted in a meaningful tie to the community. He has been involved in the golf tournament since its inception, and has seen it grow and flourish over the years.

But as COVID-19 hit the tourism industry hard, hotels were short-staffed and the golf event was forced to be pared down. The Council lost several members due to layoffs and closures in hotels, including two who helped Chad head up the golf tournament each year, leaving him as the lone organizer. “It fell 100% on my plate to make it happen,” Chad says. Though he didn’t necessarily want to learn a new platform or system, he knew in order to keep the event alive, he needed to employ some type of technology to save time, automate processes, and make planning as simple and efficient as possible.

The Solution

The Results

Though COVID-19 upended the golf tournament and drew fewer golfers than in past years, momentum is building and Chad hopes to get back to a full slate of teams in the next few years. “Since it’s been around for over 20 years, it was important to me to keep it alive,” Chad says. The tournament date was moved from June to August and couldn’t include any extras beyond the round of golf. And while the tournament attracted about half of its historical attendees, the event still raised about the same amount of money for the hospital, around $35,000. “We were thrilled about that,” he says.

Event Website

Because the golf tournament benefited a nonprofit in Children’s Hospital Colorado, it qualified for GolfStatus’s Golf for Good program, which provides no-cost access to the event planning and fundraising platform at no cost. With a one-man show for this year’s event, Chad says the online registration and payment collection aspects of using GolfStatus was the best upgrade for the event. “I barely had to do anything with it,” he points out, as the platform sends automated receipts upon registration. As an organizer, he could quickly and easily see who had registered in the software’s back-end. “The value behind this was priceless,” he says. Chad has worked with a core group of vendors and partners to support the golf event over its 22-year tenure, but has continued to explore new avenues and opportunities to attract additional sponsor support. “When we partner with a new hotel through the Council, it opens doors to a new set of sponsors,” Chad explains. The golf event’s website and accompanying free GolfStatus mobile app gives sponsors a ton of digital exposure for their investment, before, during, and after the tournament. 

Easy Communication

Chad used the platform’s built-in messaging feature to send emails directly to registrants, alerting them of updates and specifics about the event. He used it to share information about the day’s timeline, where folks should check in, and the included breakfast. Since all registration information is stored in the platform, there was no need for him to export email addresses into another service to send a simple email—it could all be handled within GolfStatus.

In Chad’s 22 years organizing the golf tournament fundraiser, he’s seen the impact it has in raising money for Children’s Hospital Colorado and the benefit for participating hotels. “So much business is done on the golf course,” he points out. “Whether you’re a good golfer or not, you can still make connections and do business while raising money and having fun.” Chad says his number one focus is to bring the hotels together to raise awareness and funds for the hospital. “We could throw a dinner party or do something different but we wouldn’t have the success of a golf tournament,” he says. “A golf tournament has staying power.”

Growing With the Event

Though Chad was a one-man show in organizing the event this year, his goal is to build the Business Council back and involve more folks in the golf fundraiser again. “The GolfStatus team made it super easy,” he says, explaining that it would be simple to collaborate with a planning team in the future. “I don’t know that I can ever go back to how I used to do it!”
